Responsible for overseeing project document control processes, ensuring all documentation is properly managed, tracked, and distributed in compliance with established procedures and project requirements.Job responsibilities- Receive, process, and manage all outbound and inbound documentation relating to the projects, such as contracts, technical reports, presentation materials, design and engineering drawings and documents, project management/execution/control documents, testing and commissioning documents and results/reports, method statements, standards, and other forms in accordance with an established document control flow and procedure, both in hard and soft copy.- Ensure that a document log is maintained live and tracks real-time progress to monitor lagging and critical items and act with the document owner or responsible person accordingly.- Ensure that document attributes (i.e., document number, revision number, title, etc.) are accurate and in accordance with the established standards and procedures.- Maintain ownership of document control platforms such as the master document delivery list and any crossover to scheduling, data management, resource management, multi-discipline collaboration, and other platforms.- Assign document and drawing numbers to all project document deliverables.- Tag documents to the responsible personnel, department heads, project managers, and other relevant actors.- Continuously explore and develop innovative ideas with respect to the document management and control system.- Optimize the capabilities of available software, data management, and communication systems (such as MS Teams) to improve suitability, effectiveness, and efficiency.- Assist onboarding of new employees by facilitating training related to the document management system and other topics relevant to the level and role of the new employee.- Extract, interpret, and analyze data and generate reports and visualization materials from the document management system for management meetings, technical and project management and commercial presentations, external collaboration, and other requirements.- Closely monitor, track, and coordinate with internal and external personnel (client/consultant/vendor) to ensure that documents are attended to and to avoid lags and delays in output.- Initiate, lead, strategize, and formulate the framework for a project-specific document management system.- Support the development of quality management procedures in support of standardization of optimal practices.- Adhere to company regulations, quality programs, values, and standard practices.- Handle internal minutes of meetings (e.g., weekly project meetings).- Perform any tasks assigned by the supervisor from time to time
